Bookings, travel, cancellations and privacy.

These draft policies are designed for an approval-first documentary photography and film service in Mid Wales.

Booking and approval

Submitting a request does not guarantee a date and does not create a contract. One Minute Stories will review the requested date, location, package and brief. A booking becomes confirmed only when the studio accepts it in writing and any agreed payment or deposit has cleared.

Customers should check that names, contact details, location and accessibility information are accurate. The studio will explain the intended deliverables, price, estimated delivery date and any travel charge before confirmation. Public sharing of a subject's image, voice or story requires a separate, clear permission and is never assumed from the booking itself.

Cancellation and rescheduling

For a consumer contract agreed online or by email, customers normally have a legal 14-day cooling-off period beginning the day after the contract is made. If a customer expressly asks the studio to start work during that period, the studio may charge a proportionate amount for work completed before cancellation. The cooling-off right can end once the service is fully performed with the customer's express agreement and acknowledgement.

  • More than 14 days before the session: cancel or reschedule without a studio cancellation charge.
  • 7–14 days before: one free reschedule; a cancellation charge may cover reasonable, evidenced losses.
  • Less than 7 days before: rescheduling is offered where practical; any cancellation charge is limited to reasonable losses the studio cannot avoid.
  • Less than 48 hours or non-attendance: the studio may retain amounts needed to cover work already done and unavoidable costs, but will not impose a disproportionate penalty.

If illness, unsafe weather, bereavement or another serious event makes the session unreasonable, both sides should contact each other promptly. The first choice will be a suitable replacement date without a rescheduling fee.

Refunds and service standards

Approved refunds will be returned to the original payment method as soon as reasonably possible and normally within 14 days. Third-party costs already authorised by the customer may be deducted only where they cannot be recovered.

Services will be provided with reasonable care and skill and in line with the agreed description. If the service does not meet that standard, the customer should contact minute@csm.photography. The studio will first seek a fair correction or re-performance where possible, or an appropriate price reduction or refund. Nothing in these policies limits statutory consumer rights.

Travel and locations

Sessions are offered across Mid Wales. Because travel time and mileage vary, any travel cost will be stated and agreed before a booking is confirmed. No unannounced travel charge will be added afterwards.

The customer is responsible for obtaining permission to photograph or record at the chosen location and for disclosing access, parking, livestock, terrain or safety issues. The studio may pause, move or reschedule a session where travel or location conditions are unsafe. If the studio cancels and cannot offer a reasonable alternative, payments for the undelivered service will be refunded.

Privacy notice

One Minute Stories, operated through CSM Photography, is the controller of personal information collected for this service. Privacy questions and data-rights requests can be sent to minute@csm.photography. A business postal address must be added before this notice is finalised.

Information collected

The studio may collect names, email addresses, telephone numbers, requested dates, locations, booking correspondence, story notes, invoices and payment status. During an approved session it may also create photographs, audio, video and written interview material. Payment providers process card details; the studio does not need to store full card numbers.

Why it is used

Information is used to respond to enquiries, assess availability, enter into and perform bookings, deliver galleries and films, handle support, maintain accounting records and protect legal rights. The usual lawful bases are steps requested before a contract, performance of a contract, legal obligation and legitimate interests in running and securing the business. Consent is used for optional marketing and public sharing of a person's story.

Sharing and storage

Information may be processed by necessary hosting, email, payment, accounting, cloud-storage and gallery suppliers, or by professional advisers and authorities where legally required. Suppliers should receive only what they need and be bound by appropriate safeguards. Where information is processed outside the UK, an adequacy arrangement or approved contractual safeguard should be used.

Retention

Unconverted enquiries are normally kept for up to 12 months. Booking, invoice and transaction records may be kept for up to seven years for tax, accounting and dispute purposes. Raw media is normally kept for 12 months after delivery; finished work and galleries follow the storage period agreed with the customer. Material approved for an archive or community story may be kept longer, with that purpose explained separately.

Your rights

Depending on the circumstances, people may ask for access, correction, deletion, restriction, portability or objection to processing, and may withdraw consent at any time. Withdrawing consent does not affect earlier lawful use. Complaints can be made to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint.
